Run and analyse the Category Activity report
Description

The new Category Activity report opens when you select Category Activity - customisable from the Reports page.

This report also opens to show account details when you drill down from the Balance Sheet, Profit and Loss, and Trial Balance reports.

This explains how to run your nominal activity and tells you:

  • How the new report is different to the current report
  • How to customise the report to suit your business

When to run it

You can run the Category Activity report any time you want to see all your ledger account balances. You may also use this report when closing out your financial year.

How the new nominal activity is different

Your new nominal activity

  • Has three pre-configured 'Views" to give you three ways of viewing your Balance Sheet out the box
  • Has an option to choose a new Date Range for each View, with handy visual date range descriptions so you always know exactly what date range you are going to report on.
  • Allows you to use multiple date range types and choose to show totals for selected periods or as a single total
  • Lets you to compare across periods or financial years and track the variance across periods

How to use the new report

Report on different periods or date ranges

We have created 3 default views for the report which cover the periods most businesses want to run the report for. Alternatively, use the Period filter to set your own date range.

Use the Default Views at the top of the report

  • Current month - Shows the month to date and year to date totals for the current year. It also shows the actual debit and credit balances per category and account, and the opening and closing balances
  • Year to date - Shows year to date totals for the current financial year. It also shows the actual year to date debit and credit balances per category and account with the opening and closing balances
  • Monthly summary - Shows the current year's monthly and year to date totals. It also shows the actual monthly debit and credit balances per category and account with your opening and closing balances

Set your own date range, such as this quarter, last quarter or your own custom date range.

  1. Select the Edit icon next to Period on the Customise report panel.
  2. Chose a period or set your own custom one.
  3. Choose Run Report.

Compare with previous periods or years

Add additional comparison columns, to get a flavour of how your business is performing compared to the previous period or the same period in a previous financial year.

This adds a column to the right with the figures for the previous period or previous year, plus a column to show the difference. The difference can be shown as percentage, an amount or both.

  1. From the Customise report panel, choose Columns.
  2. Select to add a column for the Previous Period or Year.
  3. Choose how to show the variance.
  4. Click Run report.

Include opening and closing balances

Add columns to show the opening and closing balances.

When comparing multiple periods, including opening and closing balances allows you to gauge the ongoing performance of your business. Compare the opening balance at the start of a years, track the changes across multiple periods and finally compare with your closing balance as at current date.

  1. From the Customise report panel, choose Columns.
  2. Choose Year to date closing balances and /or Opening balances.
  3. Click Run report.

Show values a cumulative amount

Show values on your balance sheet a running total from the beginning of the year to the end of each period.

  1. From the Customise report panel, choose Columns.
  2. Choose As cumulative over a period of time.
  3. Click Run Report.

Drill down balances

If you see balances you would like to investigate, you can drill them down to see details.

If the Default view is set to:

  • Current month or Year to date, the view will change to Monthly summary. From there, select any underlined balance to open the Nominal Activity Detailed report, where you can see the transactions made to the account
  • Monthly summary, the Nominal Activity Detailed report opens directly

To return to the original report, close the open drill down report or select Back in your browser.

Share your report with others

When you're happy with your report, you can save or export it. Select:

  • Save as To name the report and save it to run again later. You can find your named report on the Custom tab

or

  • Export To save a copy for your records or to share with others. You can choose PDF, CSV, or Excel format

The report is ready when a notification displays on the main navigation bar, to the left of Profile. Select the notification bell to open the report.

 

Please note, if the PDF document does’t open in a new window this is usually due to pop-ups being blocked on your Internet browser settings. To change these settings view the Pop-ups blocked when printing article.
