The Nominal record Activity tab
Description

You can use the nominal record's activity list to quickly view all of the transactions associated with the selected nominal record and a summary of the details for each transaction. This is particularly useful for checking data you've already entered and to help locate any discrepancies in your nominal record values.

For certain nominal accounts, like bank nominals, the tab is split into an upper and lower pane.

  • The upper pane shows a summary information about each transaction, one line per transaction.
  • The lower pane displays the individual items that make up each transaction. For example, if you select a sales receipt transaction in the upper pane, the lower pane shows information about the items on the associated invoice.
Access the Activity tab
  • On the navigation bar click Nominal codes, browse to and double-click the required nominal record then click Activity.

Show

The period you want to see transactions for. You can also use this drop-down list to filter the Activity screen by transaction type or to show outstanding transactions only.

Date

The date range applied to filter the list of transactions. This is based on your selection on the Show drop-down list.

Type

The type of transactions you are searching for. To search for a transaction type, in the Show drop-down click Custom Range, then in Type to Display click the type of transaction you want to display, then click OK.

O/S Only

To only show outstanding transactions, in the Show drop-down click Custom Range, then select the Outstanding Transactions Only? check box then click OK.

Trans

The transaction numbers that appear. To filter the transaction numbers that appear, in the Show drop-down click Custom Rangeedit the From and To values as required then click OK.

No

The transaction number.

Type

The following transaction types appear:

BR = Bank Receipt

BP = Bank Payment

CP = Cash Payment

CR = Cash Receipt

JD = Journal Debit

JC = Journal Credit

SI = Sales Invoice

SR = Sales Receipt

SP = Sales Payment

SC = Sales Credit Note

SD = Discount on Sales Receipt

SA = Sales Receipt on Account

PI = Purchase Invoice

PP = Purchase Payment

PR = Purchase Receipt

PC = Purchase Credit Note

PD = Discount on Purchase Payment

PA = Purchase Payment on Account

VP = Credit Card Payments

VR = Credit Card Receipts

NOTE: On SI, SC, PI, JC and JD transactions, if an arrow appears in the column, double-click for more details.

Date

The date entered for the transaction.

Ref.

The reference you gave the transaction.

Ex. Ref.

The additional reference you gave the transaction.

Details

The details or description text that you entered at the time of posting to identify the transaction.

Amount

The value of the transaction.

Debit

The debit value of the transaction.

Credit

The credit value of the transaction.

Viewing transactions
  • Show Detail opens a window breaking down any selected transaction into its component parts. For example, a sales receipt is broken down into the invoices it paid off, where as a sales invoice lists any receipts allocated against it.
  • Hide Detail closes the window showing the detailed breakdown.
  • To view full details of the transaction, select the required transaction then click View transaction.
  • If the transaction is a journal or created from an invoice, credit, order or bank transfer, to see the relating details, select the required transaction then click View item.
