How to archive companies - Sage for Education/Sage 200 Standard

Companies may wish to archive data set(s) which are no longer used for long-term retention or looking to create a new nominal structure. Archive data consists of older data that remains important to the orgranisation or must be retained for future reference or auditing purposes. 

CAUTION: Archiving companies are designed to be static datasets that should not be used for processing. Should the archive data set grow in size, Sage reserve the right to revert this from Archive to Live company status.

This will require additional companies to be setup within your software. You will need to purchase an additional company license for each data set you want to archive.

If you're a Sage for Education or Sage 200 Standard customer and supported directly by Sage, please contact Sage 200 Sales team on 0191 479 5988.

If you're supported by a Sage Business Partner, please contact them to discuss your needs and they will arrange for your license to have the required entitlement added.

If you're a Sage Business Partner, please follow the steps below to amend customer site to include additional archive company license.

NOTE: Archive companies are billed monthly irrespective of the subscription plan. This is in part due to the reasons that an Archive company may be used - i.e. it could be temporary and means it is a true pay as you go feature.

To add archive company license to site on Sage Provisioning Portal

  • Login to www.sageerponlineservices.com and choose customer's site, click Amend
  • Check site details and click Next
  • Tick Sage 200 Education Archive Companies or Sage 200 Archive Companies (depending on which variant you use) and enter the number of companies required.
  • Click Finish.

 To archive the data set

  • Backup the company that is to be archived. Click here for more information on how to back up your company.

NOTE: If you're a Sage Business Partner, Click here for instructions on how to upload bacpac to the site. 

  • Once the back up process is finished, please contact Technical Support on 0191 479 5955 to upload the back up as bacpac to your site.
  • Create a new company in Sage for Education/Sage 200 Standard and select 'Restore bacpac' and choose bacpac from the drop down
  • Enter the new company name as 'ARCHIVE <Company Name>', you may enter the financial year after the name to easily identifying data sets. Click OK
  • Once company is created, login to archive data set and change company name in Settings > Organisational and Financials > Company details, to match the above i.e. ARCHIVE <Company Name>

NOTE: If you're creating a new company with new nominal structure, you may choose to delete the original data set from Settings > Organisational and Financials > Company Management.
