How do I delete a company?
Description

If you no longer need to process payroll for a particular company, you can delete it from Sage 50 Payroll to make room for another company instead.

To do this depends on your company licence:

  • Multi-company licence - you can delete a company while your software is open
  • Single company licence - if you need to delete your current company due to a change in company status, the process is different. You can use our Change your company status guide to process this

 TIP: If you haven't already done so, we recommend you Backup your data of the company you want to delete.

Delete a company

If you want to remove the entry for the company from the Open Company window on a particular computer, but don't want to remove the data completely, follow these steps.

If your data is on a network, this is the only option available. The data remains in its original location as it may still need to be available from other computers.

  1. Open a different company from the one you want to delete.
    NOTE: You must open another company you process payroll for. You cannot delete a company from within Demonstration data.
  2. Click File, then click Delete Company.
     NOTE: The company you're currently in has the * symbol before it and can't be deleted.  
  3. Select the company you want to delete, then click OK.
  4. Click No, when prompted to permanently delete the data and directory in which it's located.
     NOTE: If your data's on a network, you're only prompted to remove the company from the list. To continue, click Yes. 

You've now removed the company from the Open Company list, but the data still exists in it's original location.


Permanently delete the data

If you have a company that you no longer process or need access to, follow these steps.

If your data is on a network, you can't permanently delete the data in this way. The data remains in its original location as it may still need to be available from other computers.

  1. Open a different company from the one you want to delete.
    NOTE: You must open another company you process payroll for. You cannot delete a company from within Demonstration data.
  2. Click File, then click Delete Company.
     NOTE: The company you're currently in has the * symbol before it and can't be deleted. 
  3. Select the company you want to delete, then click OK.
  4. Click Yes, when prompted to permanently delete the data and directory in which it's located.

You've now removed the company from the Open Company list and the data is deleted.


If you're unable to locate your data and need to restore a backup

  1. Locate the software and data installation folders.
  2. Browse to C:\ProgramData\Sage\Payroll > rename the following files:
    • Payroll.usr
    • Pay.usr
  3. Rename all Company_00X folders, ensuring that you remove the _. For example, rename Company_001 to Company001old.
  4. Reopen Sage 50 Payroll then use the Startup Wizard to create a new company.
