Copy Employee Benefit Details to the new tax year

This article explains how to copy benefits from the current tax year to the new tax year. This is part of the P11D process, or if you use Benefit in Kind (BiK) payments, part of that process also.

Customers processing BiK payments would normally follow this process at the start of the tax year to bring forward ongoing benefits (such as medical insurance or company cars) so that the employees may continue to pay the tax on them in the new tax year.

For P11D purposes, this routine creates a P11D record for the new year for employees by copying the one from the previous tax year, and carries forward the selected benefits (if they exist, and do not have an end date). This should be done prior to entering the benefits for the new tax year.

Copy Benefits from the Current Tax Year to the New Tax Year

  1. If you want to copy the benefits for a group of employees, create and invoke a set for these employees.
  2. Click Payroll, double-click P11D Module, double-click P11D Administration, then click Copy Employee Benefit Details.
  3. Enter the Copy From Tax Year - this is the year ending that has the benefits you want to copy. 2020 would be the 2019-2020 tax year, for example.
  4. Enter the Copy To Tax Year - this is the year ending that you want to copy the benefits to. This would usually be the next year (2021 = 2020-2021 tax year).
  5. You can select to copy the benefits for your Current Set, or for an individual - if you select individual you can use the Lookup  to choose the employee.
  6. Under Select Benefit Files to Copy, tick the boxes next to the benefits that you want to copy. The system will only copy benefits that have no end date and that exist on the "copy from" tax year.
  7. Click Save  then OK to continue, and OK on the confirmation message.
  8. We recommend you check the benefit details for the new tax year, and make any necessary adjustments.
