MTD Submissions with Sage 200 & Non-GBP Base Currency*
Scenario Notes
ROI customer, needs to produce VAT returns to HMRC & Irish Tax authority (ROS). Base currency is EURO & Country is IE.
  1. Set up 2 separate sets of VAT codes;
    • One for use with ROS return
    • One set for HMRC, ensuring that they are unticked for use on the VAT3 return
  2. Ensure as processing transactions, that the correct exchange rate is entered on any transactions that would be used on UK VAT submission.
Items bought/sold in base currency won’t have an exchange rate so the exchange rate will need to manually entered once the data is downloaded to excel. The exchange rate is published by HMRC once a month.
  3. Create a report to extract the transactions associated with the UK tax codes.
    Use the following tables:
    • SLPostedCustomerTran
    • PLPostedSupplierTran
    • CBPostedTran
and include exchange rate, net & VAT values this will allow you to calculate the transaction back to base currency - GBP.
  4. Pull the data into Excel, and build relevant formulas to calculate the vat return.
  5. Pull the calculated VAT figures into the MTD Excel adaptor and submit.
  6. Keep a copy of the transactions and calculations, this will be required should HMRC undertake an audit.

Note: VAT Impacting Journal Entries

  • This approach won’t work with journal entries that may impact the VAT return. e.g. Scale Fuel Charges.

It is a customer’s responsibility to:

  • check with HMRC that they are happy with the submission of a company’s VAT using the workaround above.
  • Keep a list of the transactions & calculations to provide proof of the submitted figures.
Customer with Non GBP base currency – incorrect setup and base currency should be GBP base currency.

Customers data sets should be set up correctly.

Customer with Non GBP base currency – due to parent company currency, group requirements.
  1. Ensure the transactions are being processed, that the correct exchange rate is entered on any transactions that would be used on UK VAT submission.
Items bought/sold in base currency won’t have an exchange rate so the exchange rate will need to be manually entered once the data is downloaded to Excel. The exchange rate is published by HMRC once a month.

Note: For any invoices produced for UK customers, you must ensure that the invoices produced show the GBP value.

    Use the following tables:
    • SLPostedCustomerTran
    • PLPostedSupplierTran
