User roles and access for Online Documents - Online Bureau
Description

You can access Online Documents in Online Bureau as one of the following roles below.

 NOTE: Online Bureau is known as Sage Employee Online Services to your client and their employees.

Manager

A manager user is the overall payroll process owner who can manage and oversee the payroll process. A user with this level of access can complete all steps in the Sage Online Services portal.

The manager user has unrestricted access to all employees, including all future employees that are added to the service.

When an approver approves or rejects a payroll document, the manager can view the approval and rejection emails if they're in the relevant user groups.

When you set up new user as a manager, they get a welcome email and need to create a Sage ID to access the service.


Uploader

An example of an uploader is a payroll processor, who can upload company payroll reports, upload company payroll documents and employee payroll documents from Sage 50 Payroll using their Sage ID ready for the publisher. An uploader isn't authorised to publish payroll documents to an approver.

On the Sage Online Services portal, the uploader can view pending documents that haven't been published. An uploader can also view documents that have been published to a group that they're a member of.

The manager user can specify which employees an approver can view on the Sage Online Services portal. Their access can be set to:

  • All and future employees.
  • Select employees from list.
  • No access to employees.

An uploader doesn't receive any emails when an approver approves or rejects a document.

When you set up new user as an uploader, they get a welcome email and need to create a Sage ID to access the service.


Publisher

An example of a publisher is a senior payroll processor who can log in with their Sage ID to publish company payroll reports, publish company payroll documents and employee payroll documents that've been uploaded by an uploader from Sage 50 Payroll ready to be approved or rejected by an approver.

The manager user can specify which employees an approver can view on the Sage Online Services portal. Their access can be set to:

  • All and future employees.
  • Select employees from list.
  • No access to employees.

When an approver approves or rejects a payroll document, the publisher receives the approval and rejection emails if they're in the relevant user groups.

When you set up new user as a publisher, they get a welcome email and need to create a Sage ID to access the service.


Approver

Examples of an approver are clients, business owners and members of the finance team who may not have any part in the actual payroll process itself. An approver can log in to the Sage Online Services portal to approve or reject payroll documents. The manager and publisher users are then notified by email.

The manager user can specify which employees an approver can view on the Sage Online Services portal. Their access can be set to:

  • All and future employees.
  • Select employees from list.
  • No access to employees.

When you set up new user as an approver, they get a welcome email and need to create a Sage ID to access the service.


Employee

If the Sage Online Services portal settings are set to allow employees to view their documents, employees can view and download their own payroll documents that have been published and approved on the Sage Online Services portal.

An employee doesn't need a Sage ID to access their documents.
