The following detailed steps contain everything you need to help you save reports, layouts, letters or labels to file.

The different file formats and their uses

You can save documents in the following file formats:

XML Files

An .xml file uses a universal data format for publishing and exchanging structured documents.

Portable Document Files

A .pdf file provides a secure output format and a document that can't be amended or altered, making it useful to send to customers and suppliers. The formatting of the report is also perfectly preserved, should you want to email or upload it to a website.

HTML Files

An .html file which can be viewed using an Internet browser such as Internet Explorer or Google Chrome.

Microsoft Excel Files

You can open .xls files in Microsoft Excel and other spreadsheet packages.

You can also save files as .xlsx files which you can open in Microsoft Excel 2007 and above.

Text Files

A .txt file which uses the ANSI (American National Standards Institute) character set for use with Windows.

OEM Text Files

A .txt file which uses an 8 bit OEM (Original Equipment Manufacturer) character set which is primarily used as a DOS language.

Comma Separated Value Files

A true Comma Separated Value (CSV) file. This places text output in double quotation marks, without padding, leaves numeric fields with no quotation marks and places commas between fields.

Delimited Files

A Comma Separated Value (CSV) file with a much more flexible output format. You can specify characters other than quotation marks to enclose text and numeric values, specify the separator character other than commas and enable the padding of fields.

Image Files

A .bmp file which is a graphical format used within Windows. The format, for example, could be used to export a report from Sage 200 Professional to be added to a presentation.

Data Files

This creates a .datareport file that should only be used when you want to view or print a report in Sage 200 Professional at a later date, as this format cannot be viewed using any other software. For example, if you want to export your Customer Activity report to be viewed at a later date within Sage 200 Professional, you should export the report using the .datareport option.

NOTE: Note: In order to open a .datareport file, the path of the original Sage report, layout, letter or label (.report, .layout, .letter or .label file) must remain unchanged, for example,
C:\Sage\reporting\default\reports\sales\Sales Ledger Account Details Report.

To save reports, layouts, letters or labels to file
  1. From the preview of the report select the Export button.
  2. Change the Save as type dropdown.
  3. Browse to the location where file needs saving.
  4. Save.

    NOTE: Avoid entering a full stop as part of the file name as this may prevent the file from saving. For information about the different file formats available, please refer to the previous section.
