Sage 200 BI - How to make a report or workbook static

If you're unable to find the help you require from our online resources, log a new case with us without having to use phone or email. Simply select 'Manage your cases' from the dashboard or visitmy.sage.co.uk/cases.
To make an Excel Report or Workbook static, follow the steps below.
Highlight the Report Title, right-click, and scroll down the menu. Choose Report Type and change it from Dynamic to Static.
You must now go into the BI toolbar – do not save the report via the standard Excel 'Save' icon.
The 'Save' icon within the Sage 200 BI toolbar has a drop-down arrow. Select the arrow and choose 'Break link to report connection file'.
You can now save the report/workbook using either the 'Sage Save' icon or the 'Excel Save' icon.
The report can now be sent to a colleague and used on a machine that does have Business Intelligence installed and it will remain static.
If you do not break the link per step 3 above, upon opening such reports, you will find it reverts back to Dynamic again and the values change.
NOTE: This is only relevant to users who have Business Intelligence installed on their PCs. If they do not have Business Intelligence, the report will remain static.
An alternative method for sites is to do this via Workbook Settings.
This method disconnects the report from the cube but prompts the user to reconnect when they open the report. Some sites prefer this method if the report has to be sent to several users and some users want a quick way to reconnect.
Click on the Workbook Settings arrow. This is on the BI toolbar underneath the Report Layout icon.
Within the Reports tab, un-tick the setting 'Automatically connect reports on open'. This disconnects the report from the cube.
NOTE: If you un-tick this checkbox, it is not as safe as using the Static Report as suggested above. You must be careful when you open the report. You will be asked 'Do you want to reconnect to all reports in this workbook?'. If you select No, it remains unchanged. However, if you select Yes, it will re-read the changed data in the DWH and update it.
