Sage Taxation: How to automate the backup process
Description
Cause
Resolution
Before you begin
  • We recommend that you follow this procedure at the Sage Taxation server PC, as this PC is more likely to be switched on at all times
  • You'll need to have a Windows password set up for the account that is going to run this task, otherwise the task won't run. You can set this up in the User Accounts section of the Windows Control Panel
  • The Backup and Restore option does not run if someone is logged into Sage Taxation or if any software is using the SQL on the server PC, such as BackupExec. You should try to avoid scheduling your task at times when this could be an issue
Scheduling a task to take a backup
     1. Click Start, choose Control Panel followed by Administrative tools.

You may need to change the view from 'View by Category' to either large or small icons from the top right corner of this window to see the Administrative Tools folder

On Windows 10, right click the start icon and select Computer Management then Task Scheduler from the list of options on the left.

     2. Open the Task Scheduler.

     3. From the Actions pane, click Create Basic Task.

     4. Enter a name, and if required a description for the task then click Next.

     5. Select when you want the task to run then click Next.

You'll need to select a time when nobody is using Sage Taxation, so out of hours may be best.

If you selected Daily, Weekly, Monthly or One time, you need to specify the schedule information then click Next.

     6. Select Start a program then click Next.

     7. Complete the Start a Program window as follows then click Next:

Program/scriptClick Browse then locate and select the BackupRestore.exe file.

This is usually located at:

C:\Program Files (x86)\Sage\Sage Taxation\Client if you are running a 64 bit operating system

C:\Program Files\Sage\Sage Taxation\Client if you are running a 32 bit operating system

Add argumentsType /BACKUP

CAUTION:  If you don't add the /BACKUP argument, the backup utility will open but not take a backup. This will also prevent you from accessing the software until the utility is closed.

     8. On the Summary window, ensure that the information is correct then to schedule the task click Finish.

Your task is now scheduled to run at the specified time. Alternatively, to manually run the task, from within the Task Scheduler Library right-click the task then choose Run.

Amending your scheduled task

If you need to amend the task for any reason, you can do so from the task scheduler screen:

  1. Click Start, choose Control Panel, Administrative tools, Task Scheduler.
  2. Highlight "Task Scheduler Library" from the navigation tree on the left hand side.
  3. Locate the scheduled backup task (this will be the name you chose in step 4 when setting the task up initially).
  4. Make any required adjustments (e.g. to alter the time / day your backup runs, use the "Triggers" tab).
  5. Select OK.

Backing up your log files, custom letters and accounts exports

There is currently no dedicated utility to back up these files, so we recommend that you add the following location to any third party backup software routine that you may have, or arrange for your local IT support to add it to the servers backup routine

These directories are stored on the same machine that holds the SQL server

On your SQL server machine, browse to:

  • C:\Program Files (x86)\Sage\Sage Taxation\Server\TaxShareDir on a 64 bit machine
  • C:\Program Files\Sage\Sage Taxation\Server\TaxShareDir on a 32 bit machine

To ensure that you are comprehensively backing up all related data, please ensure that this directory is also included in your third party backup routine
