Save reports as a file on your computer
Description

When you run a report or layout, you can print, export to Excel or save it on your computer as one of several file types.

Resolution

Click Pre-update Reports or Reports as required.

  1. Browse to and select the required report.
  2. Click Export.
  3. Browse to the location in which you want to save the file.
  4. Enter a file name and choose the required file type.
  5. Click Save.
  6. If required, enter the report criteria.
  7. Click OK.

The following file types are available when you save a report or layout as a file:

XML Files (*.xml)This format produces a file which designates a universal data format for publishing and exchanging structured documents.


PDF Files (*.pdf)This file type keeps all formatting intact, including any images from the original document.

To view this file type, the recipient will need to have Adobe Reader. This is available as a free download at www.adobe.com

HTML File (*.html)You can view this file using an Internet browser, for example Microsoft Edge.

This file type keeps most formatting intact, however if your report contains any images these are saved as separate files. If your report contains any images, we recommend that you save it as a .PDF file.

Excel 2007 Files (*.xlsx)This format is suitable for Microsoft Excel 2007 and above. If the recipient is using Microsoft Excel 2003 or below, they will need to install an additional plug-in to view the file.
Plain text - Ansi(default) Files (*.txt)You can open this file in text editor software, such as Notepad or Microsoft Word. The formatting of the file is controlled by the software used to open it.
Plain text - OEM Files (*.txt)You can open this file in text editor software, such as Notepad or Microsoft Word. The formatting of the file is controlled by the software used to open it.
CSV Files (*.csv)This format produces a true .CSV file. This format places text information in quotation marks, without padding, leaves numeric information with no quotation marks and separates each piece of information with a comma.
CSV - Length Delimited Files (*.csv)By default, this format places text information in quotation marks, without padding, leaves numeric information with no quotation marks and separates each piece of information with a comma.

If required, you can change the separator character or enable padding by amending the CSV Options settings within the Properties pane of your report in Report Designer.

Bitmap Files (*.bmp)This format produces an image file that you can open using most image editing software.
Sage Report Data Files (*.datareport)

This file type creates a .datareport file which is specific to Report Designer. You cannot open the file in any other software.

If you need to open the file on another PC, we recommend that you don't use this file type, as it's dependant on the locations of the files on the original PC. As an alternative, we recommend the .PDF file type.
