Report Designer - Including records with no transactions on the Trial Balance report
Description

Trial balance reports show only nominal codes with transactions for the selected period. To include unused codes, you can amend the report to display them.

Edit the Period Trial Balance

To include records with no transactions

  1. Go to Nominal codes, then Reports.
  2. Select Trial balance, then Period Trial Balance.
  3. Select Edit, then on the menu bar, select Report.
  4. Select Report Properties, enter a new name and description, then select OK.
  5. Select the Details header, then in Properties, select Filter.
  6. Select the finder button . If a Modify Filters window appears, select Use Advanced Filter.
  7. Select Clear, then OK.

To show zero values

  1. To show zero values, select the debit and credit value expressions and select Properties, then Formatting.
  2. Select the finder button, then Numeric.
  3. Clear the Suppress if zero check box, then select OK.
  4. On the menu bar, select File then Save As.
  5. Enter a new file name, then select Save.
  6. On the menu bar, go to File, then Exit.

Edit the Transactional Trial Balance

To include records with no transactions

  1. Go to Nominal codes, then Reports.
  2. Select Trial balance, then Transactional Trial Balance.
  3. Select Edit, then on the menu bar, select Report.
  4. Select Report Properties, enter a new name and description, then select OK.
  5. Select Properties, then from the Include Records with no Transactions drop-down, choose True.
  6. Run your report to check if the nominal codes with no transactions now appear. If the issue persists, follow steps 7 to 9.
  7. Select Report, then Joins.
  8. Select the Join between NOMINAL_LEDGER and AUDIT_JOURNAL.
  9. In the Properties window, ensure the Conditional Join Type shows ParentOuter, then select OK.

TIP: If the Properties button isn't showing, select View, then Properties.

To show zero values

  1. To show zero values, select the debit and credit value expressions and select Properties, then Formatting.
  2. Select the finder button, then Numeric.

  4. On the menu bar go to File, then Save As.
  5. Enter a new file name, then select Save.
