Your software displays a national holiday pattern in the absence diary, within the Absence tab of each employee's record. Each national holiday is identified by a purple N > This includes national holidays for each area of the country, England, Northern Ireland, Scotland and Wales. Alternatively, you can set up your own custom national holiday settings particular to your company.
NOTE: If you set up a holiday scheme that includes national holidays in your employees' holiday entitlement, you must ensure that the correct national holiday pattern appears on your employees' absence diaries. Sage 50 Payroll does not mark these days as taken unless they're included in the date range for holidays taken, or manually set as taken on the absence diary. The following steps contain everything you need to help you set up a national holiday pattern.
Check a national holiday patternIt's easy to check the National Holidays currently set up in your software > - Click Company then click Holidays.
- Click National Holidays.
- If required, click the Area dropdown button then select the required area.
- Double-click the relevant year folder then check the dates for the national holidays.
- To return to the Sage 50 Payroll desktop, click Close.
When are national holidays updated?Some bank holidays later in the year may not appear until you install your year end software update, normally released in March. If you'd like to add these before the update is released, you can follow the steps in the set up a custom national holiday pattern section.
Set up a custom national holiday patternIf you need to set up a custom national holiday pattern, you can do this in a few simple steps > - Click Company then click Holidays.
- Click National Holidays.
- Click the Area finder button then click Custom.
- To set up a new national holiday, click New.
- Enter a name for the holiday in the Description box.
- Enter the date of the holiday in the Date box then click OK.
- Repeat step 4 until all required dates have been entered.
- To return to the Sage 50 Payroll desktop, click OK.
You've now set up a custom national holiday pattern.
Book a national holiday as a holidayIf your employee is taking annual leave on a bank holiday, you can enter this in their employee record > NOTE: To book a national holiday as part of an employee's holiday entitlement, you must select the Include National Holidays in Entitlement check box in the holiday scheme settings. You need to book each holiday separately when selecting the data range. - From the employee list select the required employee, from the navigation bar click Employee, then from the Tasks pane click Employee Record.
- Click the Absence tab then click Diary Entry.
- From the first Absence Type drop-down menu click Holiday.
- From the second Absence Type drop-down menu, select Taken or Booked.
- From the From drop-down list select AM or PM then enter the date of the holiday in the date box.
- From the To drop-down list select AM or PM then enter the date of the holiday in the date box.
- To enter the date on the diary click OK.
TIP: Booked days appear on the absence diary as a red B and taken holidays appear on the absence diary as a blue H. - Click Save then click Close.
You've now booked a national holiday as a holiday for your employee.
Book a national holiday as a holiday for more than one employeeIf you need to book annual leave on a national holiday for multiple employees, you can easily do this using Global Changes > NOTE: To book a national holiday as part of an employee's holiday entitlement, you must select the Include National Holidays in Entitlement check box in the holiday scheme settings. - Select the required employees.
- Click Tasks then click Global Changes.
- Click Holidays then click Set Employee(s) on Holiday.
- In the From box, enter the required date.
- In the To box, enter the required date.
- Click the Absence Type finder button then select None, Booked or Taken.
TIP: To remove a holiday from an employee's record, select None. - If required, enter the holiday details in the Comment box then click OK.
- Click Yes then click OK.
